Position Overview

As an Executive Assistant (EA) you will play a critical role by keeping the District Manager (DM) organized, prepared, and well equipped for their ever-changing schedule and the vast array of responsibilities. A successful EA has many responsibilities all focused on making time, information, and decision processes more effective. You will work closely and strategically with the DM by solving problems, crafting communications, and managing relationships. You will have visibility to executive-level issues, priorities, and communication. Integrity and judgment are the key drivers of your relationship with the DM. The DM has to trust you with information, and you have to have great judgment as to when you share such information.

These duties require broad and comprehensive experience, a high level of interpersonal and planning skills, an ability to anticipate, and a knowledge of organizational practices. Candidates must enjoy working in an energetic and fast-paced environment, combining the ability to anticipate needs, prioritize, and work independently with strong attention to detail and a can-do positive attitude. Candidates must possess strong verbal and written communication skills, an ability to multi-task seamlessly, and strong decision-making ability. In this role, you will have daily interaction with employees at all levels both inside and outside the Company and require a high degree of professionalism and business presence.


District Overview

Kiewit's Southeast District is one of Kiewit's leading infrastructure districts specializing in heavy civil, transportation, and water resource markets. Projects we build include bridges, airports, mass transit systems, canals, dams, pump stations and tunnels.  Although most of our work is regionally based in the southeast region of the United States, we also pursue various projects stretching across the east coast. Manage DM’s calendar, including coordinating availability for meetings, preventing scheduling conflicts, prioritizing the most sensitive matters, and ensuring that follow up is conducted in a timely manner.
Research, prioritize, and follow up on incoming issues and concerns addressed to the DM, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response.
Complete a broad variety of administrative tasks for the DM including composing and preparing correspondence that is sometimes confidential; arranging travel plans, itineraries, and agendas; and compiling/creating documents for meetings.
Act as a "gatekeeper" in a "gateway" role, creating win-win situations for direct access to the DM's time. Plan, coordinate and ensure the DM's schedule is followed and respected.
Act as a swiss army knife, helping the DM execute the company's highest priorities on a given day or week while working on longer-term special projects and strategic initiatives.
Acts as a "barometer," having a sense of the issues taking place in the work environment and keeping the DM updated.
Act as the traffic controller, resolving issues that might be confusing the team in terms of resources, priorities, and direction given the visibility to the DM’s priorities. The EA will most often know the answer or can get the answer for the team.
Provide administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the DM’s behalf.
Coordinate travel for the DM, including organizing and managing the logistical details for off-site events and activities for the business.
Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.
Support the DM with cross-department working groups, keeping agendas, and helping members to be accountable for key deliverables.
Keep the office running smoothly, and provide support on behalf of the DM to various departments while the DM is traveling.
Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressures. Take ownership for filling in gaps as seen, proactively solving problems.
Assist with documents and plans using Office 365 (Outlook, Word, Excel, and PowerPoint, etc.) including drafting and/or proofreading.


  • Associate degree (A. A.) or equivalent from two-year College or technical school; or 5 plus years related experience and/or training; or equivalent combination of education and experience supporting an executive, preferably within the construction industry.
    Excellent communication skills (verbal and written) and comfortable presenting.
    A whole lot of creativity and a healthy dose of patience.
    A flexible schedule that will permit you to respond to changing demands and time schedules.
    Exceptional attention to detail, organization, ability to recognize discrepancies, and active listening skills.

    Must have the ability to communicate with all levels of staff from front-line employees to senior executives.
