Position Overview
The University Relations Coordinator is a valuable member of the University Recruiting & Relations team and supports all university scholarship related activities. In this role, you will be responsible to execute full life cycle support of the Kiewit Scholars Program directly supporting the Scholarship Program Manager. You will be responsible for taking direct ownership of successful internal and external customer relationships through effective planning and execution of a variety of support functions focused on bringing best practices and resources together in the most efficient and effective manner. To execute this role effectively the coordinator should have a high degree of situational awareness and be technically proficient, able to work independently, proactive, flexible, adaptable, self-motivated, and a team player while maintaining a professional attitude and demeanor.

District Overview
HR Operations is an integral partner and service provider at Kiewit. In recent years, we have gone from decentralized HR groups to a unified, shared service team, with various HR Centers of Excellence. Our vision is to be a best-in-class international HR organization.
Location
This position is based out of our Corporate Headquarters in Omaha, NE.
Responsibilities
- Provide administrative and office support to Kiewit’s University Scholarship Program in a fast-paced, high-volume, professional environment
- Operate general office equipment including: computer, iPhone, iPad, desk phone, copier, e-fax
- Schedule meetings and interviews utilizing Outlook and Concur, coordinating with multiple projects in various time zones across North America
- Arrange and coordinate meetings in person and via Teams, scheduling conference rooms and ordering & setting up catered meals and events as needed in a variety of geographic locations.
- Register and coordinate events, ordering and shipping supplies across North America
- Identify, order and track purchases of Kiewit Scholar related items for the designated programs for scheduled distribution timetables
- Maintain files of scholar addresses, parent’s addresses, resumes, and reports from the Kiewit Scholars.
- Coordination of department meetings and events
- Create and manage process documents and scholarship tracking
- Respond to scholarship related questions, and escalating concerns as needed
- Pay invoices in SAP, reconcile expenses, and process reimbursements with accurate cost coding
- Maintain SharePoint site with current, accurate scholarship materials
- Effectively utilize social media such as LinkedIn to promote Kiewit brand and career opportunities
- Ensure compliance with all federal, state, and local regulatory agencies, such as Department of Labor (DOL) and Equal Employment Opportunity Commission (EEOC)
- Build and maintain effective working relationships with peers, managers, candidates and customers
Qualifications
- 3+ years working in administrative support, human resources, university support, recruiting, or related field
- Bachelor’s degree in Business, Human Resources, or related field preferred
- High school diploma or general education degree (GED) equivalent required
- Demonstrated proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams, SharePoint)
- Strong written and verbal communication skills, with the ability to communicate effectively with people at all levels of the organization
- Strong interpersonal skills, with ability to gain trust and respect of others
- Ability to develop and maintain collaborative working relationships within and across groups work towards solutions that benefit all involved parties
- Strong customer service orientation, with focus on continuous improvement

- Experience working with SAP SuccessFactors, Yello, SharePoint, Concur
