Position Overview

The Compliance Office Executive Assistant will perform a variety of administrative, organizational and executive support duties, requiring flexibility with assignments and the ability to work with a geographically dispersed team of professionals. In this role, the Executive Assistant will report to the Compliance Director and be expected to have an eye for detail, self-sufficient and self-motivated to enhance the compliance program. This role requires a high degree of organizational skill with the ability to communicate professionally with various levels of management.

 

The ideal candidate will be able to learn Kiewit’s unique structure and have experience working with various levels of management at the corporate, shared services and field operational levels. This position collaborates closely with many individuals to promote a risk management culture and assist in advancing the goals of the Operations Compliance team.

District Overview

Kiewit provides a diverse range of shared service functions to assist our districts in their endeavors to pursue, win and successfully execute projects. Our shared services encompass Business Management, Kiewit Supply Network, Kiewit Technology Group, HR Operations, Safety, Environmental, Equipment, Quality, Legal, Compliance and more. 

Location

This position is located on-site at our Kiewit Headquarters - 1550 Mike Fahey St. Omaha, NE 68102 - and requires regular in office attendance.

Responsibilities

• Manage the budget, including weekly, monthly and annual tracking of expenses.

• Document and organize material, including but not limited to, meeting minutes, agendas, business plans, and lead team meetings where necessary.

• Process invoices and be proficient in expense tools.

• Support the Regional Compliance Managers (RCMs) on ongoing projects.

• Assist RCMs with tasks as it relates to tracking daily opportunities, setting up mitigation action plans, close out and open item tracking.

• Support the Compliance Director in special projects assigned for operational compliance.

• Keep management informed by reviewing and analyzing special reports, summarizing information and identifying trends.

• Coordinate meetings, including executive management meetings with the Director, and team events.

• Tracking of open items and strong follow up skills.

• Supporting virtual meetings and organizing guest arrangements for virtual presentations.

• Operate in the InEight tool for Compliance on a regular basis

• Promote and support the Company’s Core Value

Qualifications

• 5+ years of office management or executive administrative services experience preferred.

• Bachelors degree preferred

• Proven abilities around organization, detailed oriented and collaborative.

• Experience with budgeting and expenses.

• Demonstrate a high level of communication and time management skills while coordinating with a variety of stakeholders at varying levels of management.

• Promoting process improvement.

• Reporting skills.

• Attention to detail.

• Must be highly proficient in Microsoft Word, Excel and PowerPoint.

• Knowledge with PowerBI is preferred.

• Excellent customer service skills and attitude.

• Ability to work independently.

• Professional communication skills via email and phone.
