Position Overview
The Receptionist will perform a variety of confidential administrative and organizational duties, requiring flexibility with assignments. The Receptionist will have a strong background supporting administrative functions to assist the overall office. This position is based in our Oakville Office. The individual will report to the Office Manager.
District Overview
Eastern Canada District's projects include highways, bridges, mass transit, mine site development & open pit operations, hydroelectric powerhouses, wind-power plants, dams & industrial. The serve the construction and mining industries and operates in Eastern Canada.
Location
This position is based in Oakville.
Responsibilities
The Receptionist will support the team in the following areas:
- Manage main reception desk – greeting visitors and directing them as needed
- Liaise with Property Management
- Receive and route incoming packages and mail
- Assist with sending packages and mail
- Assist in maintaining a clean and efficient office environment, including kitchen and boardroom areas
- Maintain office supply inventory and unpack supplies
- Scan, copy and distribute correspondence or other printed materials
- Process expenses for team members and support the office manager in their role as it relates to expense processing
- Assist with scheduling conference room bookings
- Ordering and receiving catering orders for team members’ internal and/or external business meetings
- Work closely with the office personnel and assisting them in various administrative tasks, as may be required
- Other administrative tasks, as may be required
Qualifications
- Relevant college / post-secondary education
- Relevant administrative experience
- Excellent spelling and grammar skills
- Excellent communication skills (verbal and written)
- Excellent organizational and time management skills
- Ability to multi-task and prioritize
- Ability to work well with others in all capacities within the company
- Experience with Outlook, Microsoft Word, Excel & PowerPoint
