Eastern - Office Manager

Position Overview

As an Office Manager you will support the business on critical tasks such as managing the office and supplies, overseeing office vendors, coordinating visitors, helping with orientation, compliance, and payroll.  The position will become skilled in executing processes and using tools related to different types of cost and revenue components such as labor, construction equipment, and materials.

District Overview

Kiewit’s Eastern District specializes in challenging heavy civil construction projects throughout the Northeast, including the metropolitan areas of New York, Chicago, Boston, and Washington DC.  We are leaders in bridge, transit, foundation, tunnel, and water/wastewater construction while specializing in cast-in-place concrete, structural steel erection, earthwork, pile driving, and caissons. Kiewit’s Eastern District also has a large amount of work in the energy/power sector in various northeast locations. With our experienced and dedicated employees, extensive resources and in-depth market knowledge, the Eastern District can handle projects of any size.

Responsibilities

Provide support to the Business Manager and entire job team at their direction, to support their jobs.  Tasks will include supporting:
•    Provide administrative support and assist with back-up support to the team
•    Order and maintain sufficient supply of office supplies following the purchasing process 
•    Sanitize common work areas daily (door handles, coffee pot, conference room, etc.)
•    Receptionist duties including answering the door, telephone, and package handling
•    Help the safety group with orientation and accompany paperwork
•    Manage facility access with distribution and tracking of security badges. 
•    Manage meals and teambuilding events.
•    Maintain cubical name tags, seating chart, and conference rooms.
•    Troubleshoot internet, copier, and general IT problems with IT Support. 
•    Assist with registration, filing and control of incoming and outgoing documentation
•    Perform database input and word-processing functions
•    Perform other clerical duties as assigned.

Qualifications

•    Must have prior experience managing an office 
•    Must have working knowledge of Microsoft Excel, Word and Outlook
•    Must have High School Diploma/GED, Associate’s Degree preferred.
•    Experience working with Pivot Tables, V-Look Ups, and other key excel functions is preferred. 
•    Effective communication (both oral and written) and interpersonal skills.
•    Excellent organizational and time management skills
•    Ability to multi-task and prioritize
•    Good attention to detail with the ability to recognize discrepancies.
•    Positive attitude, eagerness to learn, and passion for continuous improvement.
•    Ability to work independently, as well as part of a team. 
•    Connecticut Notarial Certification preferred
•    Ability to work extended hours
