Position Overview

The Access Control Admin (Security Representative) plays a critical role in safeguarding restricted areas and secure systems, ensuring compliance with stringent security protocols. This role involves managing access controls, conducting eligibility screenings, and maintaining accurate records to uphold the highest standards of security and accountability. By managing secure access points, monitoring sensitive systems, and preventing unauthorized entry, the Access Control Admin directly contributes to risk mitigation and promotes a culture of compliance within the organization. This position collaborates closely with Security Specialists and requires a high level of professionalism, attention to detail, and an understanding of security best practices to manage sensitive information effectively.

The ideal candidate will have a strong aptitude for managing security inquiries, screening personnel, and maintaining detailed records while adapting to a dynamic environment. They must demonstrate a proactive approach to problem-solving, commitment to ethical standards, and the ability to work independently and collaboratively within a security-focused team. This role is integral to maintaining organizational integrity, supporting operational security needs, and ensuring that all personnel meet the requirements for access to sensitive areas and systems.

Responsibilities

  • Oversee the Security Inbox to address inquiries, process access requests, and coordinate responses, ensuring timely and efficient communication regarding access control issues.
  • Conduct eligibility assessments for individuals requiring access to restricted areas and secure Electronic Document Management Systems (EDMS) in accordance with district policy, TCP standards, approvals from Opportunity Sponsors (OS) or Project Security Managers (PSM), and client-specific security requirements.
  • Maintain accurate records of URL site locations and access documentation within dual-platform environments (Commercial SharePoint and KieGov). Ensure compliance with documentation requirements by retaining access records, citizenship details (including dual citizenship status), and physical copies of proof of citizenship as required.
  • Regularly update and manage an authorization roster to ensure accurate tracking of personnel who have been cleared for access to Nuclear Restricted Areas and secure EDMS, aligning with all security requirements.
  • Submit and process access ticket requests through Service Delivery, verifying that all necessary criteria are met prior to authorizing AD group or Government Tenant Licensing access. Ensure timely follow-up on pending tickets to maintain workflow efficiency.
  • Collaborate with the Security Access Control Manager to conduct quarterly audits of restricted area and system databases to ensure compliance with access policies, legal regulations, and government-wide standards.
  • Monitor the KNS EDMS continuously to detect and prevent unauthorized access, maintaining a secure environment and mitigating potential data spillage risks.
  • Coordinate and document security clearance procedures for third-party personnel (e.g., janitorial staff, partner accounts, and café personnel) to confirm U.S. citizenship. Submit manual access requests to IT for eligible individuals to be added to the Restricted Area AD group.
  • Perform other duties as assigned. Perform any task required to support company goals. #LI-LH1

Qualifications

  • Knowledge of document control standards, practices, and related software.
  • Exceptional communication skills, both verbal and written. Excellent organizational skills, with strong time management and attention to detail.
  • Self-motivated.
  • Demonstrated capability in multitasking, problem-solving, and collaborative work.
  • Proficiency in MS Office applications, familiarity with SharePoint and InEight software is highly advantageous.
  • Ability to prioritize effectively in a dynamic, fast-paced environment, aligning tasks with business needs.
  • Knowledge of records and information management principles is an asset.
  • Willingness to take on diverse responsibilities and learn new skills as needed.
  • Ability to work effectively within a project team with minimal supervision.
  • Strong focus on customer satisfaction.
  • Technical writing skills, especially if documenting processes, creating manuals, or preparing reports.
  • Ability to build relationships and work well with a variety of internal and external stakeholders.
