Position Overview
The Department Coordinator will support the Project Controls Department, working independently to perform a wide range of complex and confidential administrative and clerical duties. The Coordinator will be responsible for developing a variety of reports and troubleshooting data issues as they occur, anticipate and resolve problems, update supervisor on status of projects and will help develop/analyses reports with SQL and PowerBI. Additionally, the Coordinator will support initiatives for data integrity and normalization, training end-users on new reports and dashboards, and provide technical expertise in data storage structures, data mining, and data cleansing.

Location
This position is based at 8900 Renner Blvd., Lenexa, KS 66219, with a flexible hybrid schedule.
Responsibilities
• Develop, publish, and analyze project controls reports weekly
• Assist with Travel Arrangements for Dept Managers/Employees as needed.
• Assist with Weekly/Monthly Expenses for Dept Managers/Employees as needed;
• Assist with Monthly Project Controls Mass Meetings
• Quarterly Team building/Volunteering Event
• Quarterly coordination of small group outings for Team Leader groups (7 groups)
• Onboarding as needed. (IT, Badge, Access, Intro, Tours etc.)
• Monthly I-9’s for PowerHub
• Weekly Project Process Set Up meeting.
• Maintain Action Items & Notes
• Maintain KPC Standards Overhaul by dept.
• Maintain the Project Controls SharePoint Homepage.
• Weekly review of Project Controls Contract workers time and approve invoices.
• Weekly Review of Project Controls Labor and Non-Labor charges.
• Swag orders for Dept and or internal groups as needed.
• Mailing needs for project staff.
• Yielding any IT/HR needs for the Dept as needed.
• Maintaining our Dept Org Chart.
• Creation of PTR Accounts as needed.
• Solar Mapping as needed.
• AD Group Management
• Management of Project Controls Meeting Calendar
Qualifications
• Prior administrative support experience preferred
• A bachelor's or associate’s degree related to the role preferred
• Strong written and verbal communication skills
• Strong expertise in Microsoft Office (Word, Excel, PowerPoint, Outlook)
• Solid skills with peripheral technology such as printers, digital cameras, and scanners, as well as willingness to learn additional software.
• Previous track record of successfully meeting deadlines and project expectations
• Ability to work with people at all levels of the organization, including senior leadership, as needed
• Outstanding attention to detail and strong organizational skills
• Ability to maintain strict confidentiality of important, sensitive information and materials
• Enthusiastic team player with an interest in helping the team stay connected and working effectively together
