Position Overview

<span style="font-family:"Calibri",sans-serif">The primary responsibility of the Admin Assistant is to support the estimating team as well as any other departments at the district office.  The support for the estimating team could include the acquisition, assembly and submission of the contract documents between the Owner and KWFS during the bidding process.  The position also requires the responsibility of post contract document submission and filing.

Kiewit's Water Facilities South group is one of Kiewit's leading water/wastewater districts specializing in constructing water treatment facilities, wastewater treatment facilities, and desalination plants. Although we are headquartered in Dallas TX, with regional offices in Miami FL and Atlanta GA, we also pursue various projects stretching across the country. This position will be based at the Kiewit Water Facilities South, 4790 Regent Blvd., Suite 1500, Irving, TX  75063.  This is a shared service environment supporting our District office as well as our jobsites in a professional office setting. 


•    Providing day-to-day support with general administrative functions and team management needs (e.g., meeting coordination, travel support, team-building efforts, phone and email communication)
•    Collaborating with and supporting team members, working on key projects and initiatives
•    Support the estimating managers during the bidding process. 
•    Upload and Download contract files from the internet
•    Storing contract documents on the company database
•    Internet research and utilizing other technology/software, as required
•    Prepare Proposals and support the Business Development team with contract requirements
•    Contact Vendors for quotes, qualifications, and other information
•    Managing the vendor/subcontractor information on the company database
•    Proof Reading and assembling final proposal documentation for submission
•    Assisting the estimating team on Bid Day
•    Execution of Owner Contracts from proposal thru execution 
•    Acquire Licenses, Officers signatures, bonds and insurance for document submission
•    Acquire an understanding of State Agencies requirements 
•    Provide ongoing training and compliance measures to ensure project procedures are followed. 
•    Implement Document Control
•    Other office duties and functions. 
•    Managing key expense reports, invoicing and purchasing card transactions
•    Tracking budgets and preparing related reports for team and company use
•    Managing and scheduling inter-group and cross-company meetings involving department staff

  • Proficient in Microsoft Word, Blue Beam and Excel
  • Minimum 2 years' experience supporting an engineering or construction department
  • Ability to Learn and retain information
  • General understanding of Construction
