Position Overview

The Onboarding & Training Administrator is responsible for supporting the security clearance process for all employees assigned to the project as well as the day to day preparation and handling of training material and records.

Location

The position will be based on our project in Darlington, ON. The successful candidate will be local to Darlington, Oshawa or surrounding areas, or willing to relocate

Responsibilities

  • Initiate OPG Clearance Applications with SMR-X employees, subcontractors and potential new hires.
  • Assist in accurate completion and submission of clearance applications including verification of identification and supporting documentation as per OPG clearance procedural requirements.
  • Track and confirm completion of Clearance Renewals, ensuring employees maintain active clearance status. Act as single point of contact for OPG Clearance Office in the processing of all related security clearance applications, renewals and actions.
  • Daily preparation of training packages and attendance records for Trainers Work with the Trainers to plan training schedules and set up courses.
  • Manage resources including facilities, equipment and instructor availability. Set up training events in LMS.
  • Responsible for receiving completed training records, recording learning credits in LMS.
  • Handle the collection of completed training records and ensure proper scanning and storage per procedures. Maintain an accurate list of training folders on the Shared Drive; ensure all training documentation is the most current revision; and is uploaded and stored electronically.
  • Ensure training material, documents and completion records are stored securely and are retrievable from the shared project folder.
  • Use of project learning management system to validate qualification status and provide supporting reports. Work with Training Manager, Training Coordinators and Trainers to understand training demand.

Qualifications

  • Work experience or post-secondary learning in Business Administration, Human Resources, Business Management or related program.
  • Advanced skills in Microsoft office; including excel an asset. Excellent verbal and written communication skills.
  • Demonstrated strong organizational and time management skills. Must be detail oriented with the ability to multi-task on a regular basis. Must have a strong customer service orientation.
  • Ability to prioritize and coordinate with associated department.
  • Must have computer skills to perform duties including software experience with Microsoft Word, Excel and Outlook.
  • Must be able to communicate clearly and concisely to all levels of the organization. #LI-GH
