Position Overview

We are seeking a highly organized and proactive Travel Coordinator to manage and support all travel logistics and additional administrative duties for our construction teams across multiple project sites. This role is critical in ensuring timely, cost-effective, and compliant travel arrangements for field staff, project managers, and contractors. The ideal candidate will have experience in travel coordination, preferably within the construction or industrial sectors, and a strong understanding of remote site logistics.

District Overview

Kiewit Energy Canada is headquartered in Calgary, Alberta.  We are a major industrial contractor that work on projects that involve construction of oil & gas facilities such as oilsands processing, including steam–assisted gravity drainage facilities, upgrading & refining, midstream facilities, power & co-generation, terminal projects (ex. LNG, LPG, etc.), and major mine developments.  We also have a Modular Yard facility in Edmonton, Alberta. Our engineering branch is a leading-edge division that offers innovative engineering services for our current projects and new pursuits in Canada.  Our design services group are based in Calgary and Houston offering expertise in process, piping, mechanical, electrical and civil/structural disciplines.

Location

This position will be office-based at our Southport Road location in Calgary.

Responsibilities

  • Coordinate travel arrangements including flights, accommodations, ground transportation, and travel documentation for employees and contractors.
  • Ensure compliance with company travel policies and project-specific requirements.
  • Manage travel changes, cancellations, and emergency travel support.
  • Liaise with project managers and site leads to forecast travel needs and align with project schedules.
  • Maintain accurate travel records and expense tracking for reporting and reconciliation.
  • Negotiate rates and build relationships with travel vendors and accommodation providers.
  • Support onboarding of new hires with travel-related logistics.
  • Monitor travel budgets and identify cost-saving opportunities.
  • Assist with new project travel cost estimates and create new project travel policies and procedures as needed.
  • Provide after-hours support for urgent travel issues when required.
  • Additional ad-hoc administrative duties as required.

Qualifications

  • 2+ years of experience in travel coordination, preferably in construction, oil & gas, or industrial sectors.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in travel booking platforms such as Sabre/Apollo and Microsoft Office Suite.
  • Knowledge of travel compliance, safety protocols, and remote site logistics.
  • Ability to work under pressure and adapt to changing priorities.

Preferred Assets:

  • Experience with unionized workforce travel coordination.
  • Knowledge of Canadian and international travel regulations. #LI-GH
