Position Overview

We are currently seeking a proactive Office Assistant / Executive Assistant to join our team in Burnaby This is an exciting position where you will be the ambassador of our Kiewit values providing a positive office experience. In this role, you will also utilize your strong organizational skills to provide administrative support maximizing our efficiencies and ensuring our office continues to run like clockwork.

District Overview

Kiewit Infrastructure Engineering's Design-Build team is driving clients to turn to Kiewit during all stages of design-build projects. Through our integrated design and construction approach, our multi-disciplinary team works together to improve schedule, control costs and minimize risk. Our construction-focused engineers work collaboratively with our estimators and builders to design solutions that are innovative, constructible, and designed with a focus on safety. Clients benefit from the proven processes and tools used by Kiewit to minimize project risk. We are an in-house resource that supports projects throughout the company. Our staff shares experiences gained, innovative concepts, and best practices for all projects that we support. 

Location

This position is based in Burnaby BC
 

Responsibilities

  • Order and maintain office supplies, arrange for equipment maintenance as needed 
  • Provide coordination support for building renovations (contractor appt., booking elevators, order forms, etc.) 
  • Assist with employee moves and office space allocation/ seating chart distribution 
  • Help staff with booking travel, schedule coordination, and expenses 
  • Facilitate onboarding and office tours 
  • Process onboarding paperwork and employee files 
  • Assist with finance administrative functions
  • Assist with IT inventory Management 
  • Coordinate and arrange meetings including agenda preparation, meeting invitations, reserving, and preparing facilities and resources including virtual conferencing tools 
  • Coordinate conference room schedules through Outlook calendar 
  • Sort and distribute incoming mail including office deliveries, and address envelopes or packages and prepare courier packages 
  • Assist with other duties as assigned. 

Qualifications

  • At least 7 + years of administrative experience, preferably for an engineering, construction or oil/gas/chemical company
  • Proficient in Microsoft Office products including Word, Excel, Outlook, SharePoint
  • Experience supporting accounts payable, accounts receivable and other finance administrative functions
  • Must be customer service oriented
  • Highly motivated, with a demonstrated passion for excellence and taking initiative
  • Strong work ethic, willing to do what it takes to get the job done right the first time
  • Demonstrated commitment to ethics and integrity
  • Passion for safety, with the ability to help us ensure that nobody gets hurt
  • Strong interpersonal, written, and verbal communication skills
  • Team player with the ability to work independently to meet deadlines, goals and objectives
  • Strong organization, time management, and attention to detail
  • Legally entitled to work in Canada
