As a Logistics Specialist for our Talent Development team you will coordinate and support logistics at our Aurora CO Training Center. District Overview

HR Operations is an integral partner and service provider at Kiewit.  In recent years, we have gone from decentralized HR groups to a unified, shared service team, with various HR Centers of Excellence.  Our vision is to be a best-in-class international HR organization. 

Location

The Training Center, 2551 N. Picadilly Rd, Aurora, Colorado. This is a shared service center in a professional office setting. 

Responsibilities

Meeting Space Management:

  • Receive and Manage meeting space requests and assignments.
  • Ensure room setup is completed per meeting space request requirements.
  • Maintain Master event schedule.
  • Report as needed on space utilization or other meeting space metrics.
  • Provide meeting name tags, transportation arrangements and materials for other meetings as needed.
  • Maintain extreme housekeeping by identifying, labeling and documenting the location of necessary materials for each Corporate program within the specified storage spaces.

 

Vendor Coordination:

  • Responsible for hotel vendor selection, performance and relationship.
  • Submit hotel rooming lists, billing requirements and manage changes.
  • Manages onsite security personnel communication and scheduling.
  • Schedule needed onsite catering services and necessary kitchen cleaning and maintenance.
  • Maintain acceptable general survey results in all logistic related areas.

 

Planning: 

  • Manage venue details including but not limited to: Audio visual, room layout, needed materials, signage.
  • Arrange necessary catering details and needs.
  • Arrange necessary transportation.

 

Execution: 

  • Support Corporate Training programs by maintaining the agenda times, supporting learner questions, assist facilitator setup and success and other duties as applicable.
  • Prepare printed or other materials for Corporate Training programs and other events as needed.
  • Provide onsite meeting support as assigned for other Talent Development events.
  • Communicate schedule and events with on-site guard who responsible for greeting / directing employees, shipping and receiving vendors at front desk of Training Center.
  • Manage Training Center technology arrangements, setup and engage Technology group when applicable.
  • Schedule after hour event coverage.
  • Support other Training Center activities and events as assigned including occasional evening or weekend events. 

 

Record Management and Retention: 

  • Record attendance at Core, Technical, or Craft Schools and communicate to the Talent Development coordinators for accurate recording of completion
  • Follow checklists and standards for execution support excellence of Talent Development programs.
  • Document and follow opening, closing, planning and execution processes.
  • Identify and propose solutions to improve efficiencies and streamline processes.

 

Cost Management:

  • Work with appropriate teams members to order necessary training materials and supplies in support of the facility and corporate training programs. 
  • Meet or exceed budget unit costs through active management of program planning and execution. 
  • Exhibit frugality and care related to all company spending.
  • Collaboration and Teamwork:
  • Regularly collaborate with other members of the Talent Development team related to the roles and responsibilities above, and other areas of experience of expertise.

 

 

Qualifications

  • High school diploma or GED, some college or degree preferred.
  • 3-5 years’ work experience in an HR, training department or other related field, preferably as an administrative assistant or training/event coordinator.
  • Proficient Microsoft Office (Word, Excel, PowerPoint, and Outlook) experience.
  • Working knowledge of mobile devices, meeting technology and social media.
  • Excellent communication skills (verbal and written).
  • Strong customer service skills.
  • Detailed and organized.
  • Good time management skills.
  • Ability to manage multiple projects.
  • Strong planning skills.

 

Valued but not required knowledge, skills and experience: 

  • Working knowledge of a Learning Management System (LMS) such as Success Factors, SAP, iOracle or Learn.com
  • Working knowledge of SharePoint and event management tools.
  • Working knowledge of database and report writing.

Base Compensation: $65,000  - $90,000 
(Actual compensation is subject to variation due to such factors as education, experience, skillset, and/or location)
