We are looking for an Administrative Assistant to support our Kiewit Albuquerque Program Office, providing office support for an Executive and growing team, in a professional office environment. We are looking for a professional who has background in administrative support for a busy office, accustomed to performing a variety of functions, and balancing multiple priorities. This role may require occasional overtime in the evenings and on weekends, so we are looking for an experienced team player, willing to do what it takes to get the job done!

District Overview
Kiewit's Central District operates in the central and south-central regions of the United States. We build heavy civil and transportation projects, including highways, airports, mass transit systems, canals, dams and tunnels. With one of the largest equipment fleets in the region, we can mobilize to any location as a full-service construction team capable of self-performing mass grading, drainage, bridge construction, aggregate production, paving, rail and utility construction.
Location
This position will be based full time out of our Albuquerque New Mexico Program Office. We are looking for local candidates only, and are not offering relocation for this role.
Responsibilities
Provide the office with day-to-day support with general administrative functions and team management needs including ordering supplies, meeting scheduling/coordination, travel support, phone and email communication, front desk/reception, liaison with property manager and vendors, mail receipt and others.
Collaborate with and support team members, working on key projects and initiatives which could include creating documents in Word, Powerpoint presentations and sorting data within Excel.
Manage expense reports, invoicing and purchasing card transactions.
Support the Program Manager and as needed with travel management/coordination, expense review/management.
Manage suite and building access, set up and assign new users for accessibility to the building, review and manage parking garage access, update relevant Kiewit entities and documents with that information oversee vendor and delivery access.
Track weekly cost reports and budgets, weekly payroll, and intercompany billings, providing weekly and monthly reports. Review and resolve issues with invoices, and prepare related reports for team and company use.
Manage and schedule inter-group and cross-company meetings involving department staff, order food/deal with caterer.
Support office as needed some evenings and weekends to meet deadlines
Qualifications
- Minimum of 5+ years administrative support experience, performing similar functions as what is outlined above in a professional office environment. Experience working in a construction office environment is highly desired.
- Professional presence and demeanor to interact with all levels of stakeholders. Must have strong written and verbal communication skills, strong organizational skills, and a track record of being able to juggle multiple priorities and meet deadlines.
- Strong skills in MS Office Suite (Word, Excel, Powerpoint, Outlook). Experience with analyzing costs, and invoices is preferred, as well as experience providing reports to leadership.
- Able to maintain strict confidence of important, sensitive information and materials.
- Ability to work with people at all levels of the organization, including senior leadership and a team player with an interest in helping the team stay connected. Demonstrates initiative to solve problems, action orientation and be a self-starter.
- Bilingual-Spanish/English is preferred
- Able to work overtime and weekends occasionally as needed to support important initiatives and deadlines
