Position Overview

The Document Control Coordinator (DCC) shall be skilled in using technology to complete their tasks. They are primarily responsible for independently administering and managing the project document control system(s), including logging, transiting, and distributing all relevant documents into the system and distributing them to the appropriate project team members. The DCC is also responsible for coordinating/collaborating with project staff to help facilitate and expedite the project team's efficiencies. They should communicate/collaborate well with a large team to coordinate and complete multiple responsibilities on a deadline. 

 

For this position, it will be necessary to secure a Department of Energy Security Clearance (Q) and background check which will be processed during onboarding.

Location

This position will be located in the field at a construction jobsite in Aiken, South Carolina in support of the Department of Energy Savannah River facility.

Responsibilities

  • Responsible for reproduction of documents, preparing reports and addendums. 
  • Maintain records of incoming document transmittals and prepare outgoing transmittals. 
  • Support the efforts to ensure that the system documents are maintained with accurate and current information. 
  • Oversee the proper approval, maintenance and distribution of documents and retention policies. 
  • Control the numbering, sorting, filing, storing and retrieval of electronic and hard copy documents. 
  • Perform process audits to ensure accuracy of all controlled documentation. 
  • Assist with requests for information from external customers, vendors and internal customers (inter-company). 
  • Participate as needed in corrective/preventive actions items and their investigations. 
  • Ensure that the confidentiality of sensitive information is protected. 
  • Implement project specific Field Document Control procedures to ensure all documents, drawings and records used during construction are controlled. 
  • Conduct in-person trainings for Field personnel to ensure adherence to all project specific Field Document Control processes and procedures. 
  • Create, maintain, and audit hard copy Construction Work Packages throughout the lifecycle of the project. 
  • Fulfill requests submitted for creating new Construction Work Packages by printing, stamping and binding documents/drawings. 
  • Ensure all hard copy Construction Work Packages always include the latest revisions and are updated with new revisions of documents/drawings expeditiously. 
  • Maintain project specific logs. 
  • Provide project reports to management, subcontractors, and clients when required. 
  • Perform other duties as assigned. 
  • Perform any task required to support company goals. 

Qualifications

  • 4+ years of experience in document control in the Construction sector. 
  • Must possess an aptitude to lead and manage people. 
  • Familiarity with document control standard practices and software. 
  • Excellent communications skills, both verbal and written. 
  • Strong organizational skills, time management, and attention to detail. 
  • Comfortable with fast paced work environment, pressure, change, and ambiguity. 
  • Highly motivated, with a demonstrated passion for excellence and taking initiative. 
  • Ability to multi-task, problem solve and work collaboratively. 
  • Proficient in computer applications (MS Word, Excel, and PowerPoint)  
  • Knowledge of SharePoint and InEight software is a plus! 
  • Demonstrated commitment to business ethics and integrity. 
  • Ability to keep up with fast-paced atmosphere and understanding of how to prioritize work based on business needs. 
  • Knowledge of records/information management principles and their methodologies is an asset. 
  • Willing to perform a variety of tasks and learn new skills. 
  • The ability to work effectively within a project team with minimal supervision.
