Position Overview

As a Document Controls Specialist, you will be responsible for maintaing the Project Document Control Program throughout the project lifecycle. 

District Overview

Kiewit’s Eastern District specializes in challenging heavy civil construction projects throughout the Northeast, including the metropolitan areas of New York, Chicago, Boston, and Washington DC.  We are leaders in bridge, transit, foundation, tunnel, and water/wastewater construction while specializing in cast-in-place concrete, structural steel erection, earthwork, pile driving, and caissons. Kiewit’s Eastern District also has a large amount of work in the energy/power sector in various northeast locations. This position is based out of our Eastern District Office, in Woodcliff Lake, NJ


•    Perform Project document control duties as assigned. 
•    Responsible for maintaining the Project Document Control Program throughout project lifecycle.
•    Responsible for registration, filing and control of incoming and outgoing documentation
•    Responsible for document flow and distribution at a Project site.
•    Collect and log all contract documents and project documentation from bid phase through project completion. 
•    Perform audits of Project documents to ensure files are current 
•    Perform database input and word-processing functions
•    Reproduce, distribute, store and retrieve necessary documentation. 
•    Post changes and maintain computerized or manual control records and release documents notifying all affected departments as needed.
•    Responsible for reproduction of documents, operate reproduction equipment and prepare reports and memorandums.
•    Transmit, receive, record and distribute e-mail correspondence and documentation according to established procedures
•    Maintain records of incoming document transmittals and prepare outgoing transmittals and packages (i.e., UPS, Federal Express, and United Postal Service).
•    Effectively communicate with suppliers via fax, e-mail and/or telephone.
•    Ensure that the confidentiality of sensitive information is protected
•    Perform other administrative duties as assigned by the Project Manager



•    Bachelor’s Degree
•    Course study in Records Administration/Management, Library and Information Technology or related experience an asset 
•    Basic knowledge of filing and record retention systems
•    Knowledge of records/information management principles and their methodologies an asset 
•    Proficient in Microsoft Excel and Word.
•    Knowledge of SharePoint a plus!
•    Basic knowledge of document control procedures and office equipment such as computers, copy machines, telephone systems, etc. 
•    Willing to perform a variety of tasks and learn new skills
•    Ability to handle multiple tasks simultaneously in a dynamic environment
•    Strong communication skills to effectively work within a project team with minimal supervisior
•    Ability to travel to project sites as needed
