Position Overview
The I-9 Coordinator is responsible for ensuring compliance with federal employment eligibility verification requirements by managing the completion, reverification, and auditing of Form I-9 documentation. This role serves as a key liaison between field personnel, HR teams, and compliance leadership, providing guidance, support, and training to ensure consistent and accurate practices across the organization. This is a fast paced, challenging environment that provides each team member with the opportunity to continuously learn and grow in all facets of Kiewit’s core business activities.
District Overview
Kiewit Business Services (KBS) is a cross-functional shared service organization that provides the business units with customer-specific services focused on cost and business value. Our services include non-core, yet essential, functions of our businesses including accounts payable, accounts receivable, change control, human capital management, payroll, project initiation, compliance and continuous improvement.
Location
This is a full time in office role located on our campus in LaVista, NE.
Responsibilities
• Develop and maintain strong working relationships with field personnel and business units.
• Provide responsive, empathetic, and knowledgeable support to internal and external stakeholders.
• Serve as a subject matter expert on I-9 processes, offering guidance and training as needed.
• Utilize electronic I-9 systems and platforms (e.g., E-Verify, onboarding tools) to manage and resolve service requests.
• Troubleshoot system issues and escalate complex cases appropriately.
• Ensure prompt and accurate assignment, tracking, and resolution of I-9-related inquiries.
• Monitor and manage I-9 reverification timelines for employees with expiring work authorization.
• Notify employees and field teams of upcoming reverification deadlines and required documentation.
• Review and process updated I-9 forms in accordance with USCIS guidelines.
• Maintain accurate records of reverification actions and ensure timely updates in the system.
• Demonstrate a sense of urgency when addressing business-critical compliance issues.
• Support districts and projects beyond core responsibilities when needed.
• Share best practices and compliance tips with peers and field partners to promote consistency.
• Follow established procedures and internal controls to ensure compliance and data integrity.
• Recommend process improvements to enhance efficiency and reduce risk.
• Communicate updates, policy changes, and compliance expectations clearly and professionally.
• Provide actionable feedback and escalate concerns when appropriate.
• Maintain consistent and reliable attendance to support team operations and field needs.
Qualifications
• Strong understanding of I-9 regulations and employment eligibility requirements
• College Degree in business or related field preferred
• Experience with electronic I-9 systems and E-Verify preferred
• Previous SAP experience preferred
• Prior work experience in a shared services environment
• Excellent communication, organizational, and problem-solving skills
• Ability to work independently and collaboratively in a fast-paced environment
• High level of accountability and attention to detail
• Working knowledge of computers and experience using Microsoft Outlook, Excel, and Word
• Highly motivated and self-directed, with initiative and a sense of urgency to get things done
• Excellent customer service and collaboration skills; ability to connect and build relationships with others inside and outside the organization
• Ability to work with a high degree of accuracy with minimal supervision in a high-volume environment #LI-AK1
