This role provides administrative and project support to active construction jobs and internal teams. The Administrative Coordinator will manage multiple priorities simultaneously, support document workflows, and handle general administrative tasks.
District Overview
Kiewit’s Northern California District is one of Kiewit’s leading infrastructure districts specializing in various types of work in the heavy civil, power, transportation, and water resource markets. Although most of our work is regionally based in Northern California, we also pursue various projects across the west coast. Location
This position will be based in one of our Milpitas office location.
Responsibilities
• Provide day-to-day administrative support for assigned construction projects, office leadership, and internal teams.
• Serve as a key point of contact for office operations, including ordering and maintaining office supplies, coordinating vendors, and supporting general office needs.
• Prepare for and support meetings, including scheduling, room setup, materials preparation, and follow-up as needed.
• Support document workflows (e.g., submittals, revisions, tracking, uploads, naming conventions) as needed, ensuring accuracy and timeliness, but not as a primary focus.
• Collaborate with team members on key initiatives and provide administrative support for ongoing projects.
• Provide support for additional administrative and office-related tasks as needed to ensure smooth daily operations.
Qualifications
• Prior administrative support experience required; experience supporting an office or project-based team strongly preferred.
• Strong organizational skills with a high level of attention to detail.
• Ability to manage multiple priorities and deadlines in a fast-paced environment.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office (Outlook, Excel, Word, Teams).
• Demonstrated ability to meet deadlines and manage competing demands effectively.
• General familiarity with document workflows or document control processes, preferably in a construction or project-based environment.
• Comfort working with office and peripheral technology, including printers, scanners, and A/V equipment.
• Ability to work effectively with employees at all levels of the organization, including senior leadership.
• Ability to maintain strict confidentiality of sensitive information and materials.
• Positive, proactive team player with an interest in supporting team connectivity and overall office effectiveness.

Base Compensation: $26.00 - $30.00 per hour
