Position Overview

We are seeking a highly organized and proactive Office Administrator to join our engineering team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office and assist with project controls to support our engineering projects. This role requires a detail-oriented individual with a strong understanding of project management principles and the ability to multitask effectively.

Responsibilities

•    Coordinate office activities and operations to secure efficiency and compliance with company policies1.
•    Manage agendas, travel arrangements, appointments, etc., for upper management and project teams1.
•    Handle phone calls and correspondence (e-mail, letters, packages, etc.).
•    Support project controls tasks, including cost control, scheduling, and monitoring functions2.
•    Collaborate with the Planning, Procurement, Engineering, and Finance Departments to develop the work breakdown structure (WBS).
•    Analyze project management and cost control system data, using graphs and diagrams for insightful cost status presentations.
•    Implement and maintain Project Planning and Scheduling, applying engineering, procurement, and construction concepts to create and manage simplified critical path logic networks and bar charts2.
•    Manage and organize engineering project documentation, ensuring all necessary materials are accurately filed and easily accessible for the team.
•    Coordinate scheduling, including arranging meetings, booking conference rooms, and setting up video calls for engineering teams and stakeholders3.

Qualifications

•    Proven experience as an office administrator, office assistant, or relevant role.
•    Familiarity with project management, including planning, scheduling, risk management, and cost control.
•    Excellent time management skills and ability to prioritize work.
•    Attention to detail and problem-solving skills.
•    Excellent written and verbal communication skills.
•    Strong organizational skills with the ability to multi-task.
•    Proficiency in MS Office and project management software.
