Position Overview
The primary focus of this role is to provide a wide range of administrative services for department managers. To execute this role effectively the assistant should have a high degree of situational awareness and be technically proficient, able to work independently, proactive, flexible, adaptable, self-motivated, and a team player. Works effectively in a complex and demanding environment while maintaining a professional attitude and demeanor. Continually requires a high degree of autonomy. The role necessitates collaborating with multiple projects and departments.

Responsibilities
- Edit and format correspondence, presentations, proposals, and reports
- Serve as a back-up to other office administrative staff
- Organize and schedule meetings and appointments, book meeting rooms, handle any special requests
- Coordinate travel itineraries and arrangements, schedule events for off and onsite events
- Process expense reports, invoices, and orders; payroll assistance as needed
- Perform clerical tasks including data entry, filing, photocopying, scanning, etc.
- Perform other administrative duties as required or assigned, assist with onboarding new hires, and interact with union requisitions
Qualifications
- High School Diploma
- At least one year of experience as administrative assistant
- At least one year of meeting and event planning experience
- Be able to lift 15-20 pounds (office supplies, cases of paper)
- Highly flexible and able to work efficiently in a high-volume, deadline-driven environment
- Be highly organized with exceptional time management skills
- Ability to prioritize and work effectively under pressure in a fast-paced environment, sometimes with minimal guidance
- Requires skills in using computer applications for word processing, spreadsheets, databases, internet navigation, e-mail, and calendars
- Proficient with Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) with the ability to learn and adapt to new programs and processes

- Communicate and interact effectively and professionally with supervisors, employees, and others individually or in a team environment.
- Perform work safely and effectively. Understand and follow oral and written instructions, including warning signs, equipment use, and other policies.
- Work during normal operating hours to organize and complete work within given deadlines. Work overtime and weekends as required.
