Responsibilities

  • Review assigned contracts and delivery requirements with guidance. Identify key contacts, required supplier documents, milestone dates, and the project's material need dates.
  • Contact suppliers for scheduled updates, document submissions, contract acknowledgments, and supporting progress information. Prepare for supplier calls and record commitments, action owners, and due dates.
  • Maintain accurate dates, quantities, status comments, and supporting records in the designated expediting system. Keep supplier forecasts separate from verified actual dates and flag inconsistent or missing information.
  • Track assigned items in the Supplier Deliverables Schedule and supplier Master Document List. Follow up on late submissions, internal review returns, and resubmittals with the responsible team members.
  • Compare reported progress with agreed milestones. Promptly raise missed dates, unanswered requests, missing material, or other concerns that could affect fabrication, testing, shipment, or site arrival.
  • Support manufacturing and shipment-readiness checks by collecting material status, progress evidence, inspection dates, packing lists, and shipping documents. Participate in supplier-shop visits as assigned.
  • Follow up with Logistics and Site Material Control on delivery status, receiving reports, and overages, shortages, or damage. Track assigned exceptions to closure or an agreed handoff.

  • Ability to compare dates and quantities, recognize discrepancies, maintain organized records, and ask clear questions when information is incomplete.
  • Working knowledge of Microsoft Office, including Excel, Word, and email, for maintaining data and preparing clear updates. Ability to use AI assistants and large language models (LLMs) to streamline daily tasks, support routine automation, and check outputs for accuracy.
