Position Overview

We are seeking an Administrative Coordinator to support our TIC Marine & Heavy Civil District, located in Savannah, GA. Responsibilities include maintaining office systems and supplies, payroll processing, accounts payable, document management, owner billings/account receivables, office clerical/support services, printing, mail distribution, messenger services, expense reporting, greeting visitors, answering phones, inventory management, material receiving, select procurement and ordering, Dewalt tool repair, and providing telephone and Concur support.

District Overview

TIC Marine and Heavy Civil self-performs marine projects with company-owned equipment for both the public and private sector, historically focusing on the southeast coast. Our construction operations are supported by our in-house equipment department, fabrication facility and machine shop to streamline projects for our owners. Using our own equipment and fabrication facility allow us to maintain control over critical scopes, ensuring that the project stays on schedule. Past heavy-civil experiences include cast in place concrete, steel, box beam, flat slab, railroad trestle and arch bridges, bridge widening, bascule and swing bridges, box culverts, storm drainage, erosion control, dike and levee construction, concrete paving, tunnels and sound barriers. Our Marine experience includes lock and dam repairs, docks, demolition, Navy wharfs, water intake structures, steel, concrete, composite and timber piling, fender systems, dolphins, piers, dredging, marinas and LNG facilities.

Responsibilities

  • Providing day-to-day support with general administrative functions and team management needs (e.g., meeting coordination, travel support, team-building efforts, phone and email communication)
  • Collaborating with and supporting team members on key projects and initiatives
  • Providing basic design support for company branding and marketing materials and events; helping organize and support online media and video projects
  • Assisting with messaging, writing, editing, researching, and related support for external and internal communications, as needed
  • Managing key expense reports, invoicing, and purchasing card transactions
  • Tracking budgets and preparing related reports for team and company use
  • Managing and scheduling inter-group and cross-company meetings involving department staff
  • Inventory management
  • Material receiving
  • Select procurement and ordering
  • Administrative duties as assigned
  • Dewalt tool repair
  • Providing phone and Concur support

Qualifications

  • At least 5 years of administrative support experience
  • Strong written and verbal communication skills
  • Expertise in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Proven track record of meeting deadlines and project expectations
  • Ability to work with individuals at all levels of the organization, including senior leadership
  • Exceptional attention to detail and strong organizational skills
  • Ability to maintain strict confidentiality of sensitive information and materials
  • Enthusiastic team player with a keen interest in fostering team connectivity and effectiveness
