Position Overview

As an Administrative Assistant, you will support the business and provide administrative support in various capacities. You will be responsible for developing internal and external communications. This candidate must be a proactive thinker and comfortable communicating with the executive team. Must be able to work quickly and multi-task.

Location

This position is based in Sept-Iles, QC.

Responsibilities

Provide support to the Project Manager and entire project team. Support will include the following tasks:
•    Provide administrative support and assist with back-up support to the team and management (e.g., meeting coordination, travel support, team-building efforts, phone and email communication)
•    Document control responsibilities, including the timely retrieval and storing, numbering, sorting and filing of electronic documents 
•    Internal data maintenance
•    Coordinate and arrange internal meetings/events, including agenda preparation, meeting invitations, room reservations, and preparation of facilities and resources including virtual conferencing tools 
•    Write and distribute internal communications 
•    Participate in special projects such as creating reports and PowerPoint presentations 

Qualifications

•    Minimum of 3 years of experience in a professional setting. Experience in the construction industry is an asset.
•    Proficient in Microsoft Office products including Word, Excel, Outlook, Teams required, PowerPoint preferred
•    Experience and ability to navigate and adapt to various online platforms 
•    Experience working with modern technologies such as SharePoint, video conferencing, etc. 
•    Deadline-driven with a sense of urgency
•    Able to take direction and provide timely feedback on progress of tasks
•    Exceptional attention to detail, organized, ability to recognize discrepancies and active listening skills
•    Strong emotional intelligence and interpersonal skills
•    Excellent organizational and time management skills
•    Ability to multi-task and prioritize
•    Ability to work independently, as well as part of a team
•    Strong professional interpersonal, written and verbal communication skills
•    Must be fluent in French, the ability to communicate in English (both oral and written) is an asset
